About the Role

The Finance Officer will provide comprehensive administrative and financial support to the business, with a strong focus on debtors, creditors, petty cash management, and general operational tasks. The role requires exceptional attention to detail, strong organisational ability, and the capacity to manage a variety of responsibilities in a fast-paced environment.

Debtors (Accounts Receivable)
o Capture and process customer invoices and credit notes.
o Maintain customer accounts and ensure timely collections.
o Follow up on overdue accounts and distribute monthly statements.
o Reconcile customer accounts and resolve queries.
o Prepare monthly debtor age analysis and assist with cash flow projections.
o Accurately allocate incoming payments.
o Liaise with sales and customer service teams regarding credit limits and account queries.

Creditors (Accounts Payable)
o Receive, verify, and process supplier invoices and credit notes.
o Match invoices to purchase orders and delivery documentation.
o Reconcile supplier statements and resolve discrepancies.
o Prepare weekly/monthly payment runs in accordance with credit terms.
o Maintain accurate supplier records and conduct monthly reconciliations.
o Assist with month-end processes and reporting.

Petty Cash & Expense Reconciliation
o Manage and control the petty cash float with accurate disbursements.
o Maintain petty cash logbooks and ensure full supporting documentation.
o Perform weekly/monthly petty cash reconciliations and prepare reimbursements.
o Verify and reconcile staff expense claims in line with company policies.
o File and archive supporting documentation for audits.
o Assist with posting and categorizing petty cash and expenses in the accounting system.

Administrative Support
o Perform general admin duties such as filing, data entry, and document management.
o Coordinate office supplies, stationery, and basic logistics.
o Provide ad-hoc support to operational staff.
o Maintain accurate records and registers.
o Assist with external audits by preparing required documents and reconciliations.
o Support the Finance Manager with additional finance and admin tasks.

Operational Assistance
o Assist with internal processes such as scheduling, follow-ups, and basic reporting.
o Provide hands-on support for day-to-day operational needs.
o Coordinate with other departments to ensure smooth workflow and communication.

Other Duties
o Perform reasonable additional tasks as assigned by management.
o Adapt to evolving business needs throughout the contract period.

Requirements

Qualifications:

o   Qualification in finance preferred.

o   Min 3 years' finance experience required.


Experience:

o   Strong knowledge of basic accounting principles (debtors/creditors).

o   Proficiency in MS Office (Excel essential) and experience with accounting systems.

o   High level of accuracy, numeracy, and attention to detail.

o   Excellent organisational and time-management skills.

o   Strong communication skills and the ability to work well with internal teams and external stakeholders.

o   Ability to manage multiple tasks and meet deadlines.

o   Proactive, reliable, and able to work with minimal supervision.

o   Strong problem-solving skills and a willingness to take initiative.


Technical Skills:

o   Computer literate with proficiency in modern HR systems and tools.

o   XERO knowledge preferred.

o   Strong interpersonal and communication skills.

o   Excellent organisational and multitasking abilities.
